All client records are stored using HIPAA-compliant, encrypted systems.
Access is restricted to authorized Axend personnel and partner professionals who require the information to perform their duties.

- Data Sharing

- The US-based consultant who designs your movement program
- The Philippine movement coach assigned to conduct your sessions
- Payment processors and technology providers operating under confidentiality agreements
No data is shared with external entities without your explicit consent.
- Retention and Disposal
Records are retained for up to five (5) years after service completion, after which they are securely deleted or anonymized unless retention is required by law.

INTERNAL COMPANY POLICIES AND PROTOCOLS
- Professional Conduct
- All coaches and consultants must adhere to Axend’s standards of ethics and confidentiality.
- Philippine movement coaches may not represent themselves as licensed physical therapists in the U.S.
- All client interactions must remain educational, preventive, and performance-oriented.
- No diagnosis, prescription, or medical treatment shall be provided.
- Documentation Standards
- All sessions must be documented in the designated HIPAA-compliant system within 24 hours.
- Only relevant, objective findings may be recorded.
- Notes must avoid medical or diagnostic terminology.
- Communication Protocols
- Client communication should occur only through official Axend channels.
- Personal messaging or off-platform exchanges are discouraged.
- Sensitive data must never be transmitted via unsecured email or social media.
- Conflict of Interest
Team members may not provide outside services to Axend clients without prior company approval.
Any potential conflicts must be disclosed immediately.
- Data Protection
- All staff must complete data privacy and cybersecurity training.
- Access credentials are confidential and must not be shared.
- Breach incidents must be reported to the Data Protection Officer within 24 hours.

Axend maintains appropriate business liability coverage for its operations.
All independent contractors are required to hold professional liability coverage in their jurisdiction of practice.
- Disciplinary Action
Violation of any company policy, including unauthorized sharing of client information, may result in suspension, termination, or legal action.
